Glossary

The words you see in CapZero, in alphabetical order. Labels in bold are written exactly as the app shows them.

An AI or software helper that belongs to your organization. It works with its own key and only the permissions you give it. Admins manage agents in Organization settings under Agents.

The secret an agent uses to sign in. It’s shown once, when it’s created. A key can expire, and an admin can rotate or revoke it under Agent keys.

A set of screens, records and rules that your organization installs, such as a CRM. Each installed app has its own icon in the rail on the left. Admins add one with Add an app. Some screens call an app a product: Customize products in Organization settings is where admins change what an app keeps track of.

A role an app adds, such as reviewer, given to a member on top of their organization role. Admins give app roles in Members, with App roles.

A sign-off on one exact version of something. If what was approved changes, the approval no longer counts. You answer with Approve or Reject, then Send decision. Approving needs two-step verification, and the person who asked for an approval never answers it. See Approvals with MFA.

A question that needs a person, such as supplying a fact or granting access, with the answers it accepts. Asks waiting for you are under Needs your decision on Home.

The history of who changed what in your organization, newest first. Admins see it in Organization settings under Audit. A record’s own history is its Activity.

An outside account, such as a mailbox, linked to your organization, and what it can reach. Admins manage them in Organization settings under Connections.

Files from your other systems, checked against their totals before they change anything. Rows that don’t fit are held for a person to look at. In Organization settings under Data loads.

One download of your organization’s records, files and audit history, without any secrets. In Organization settings under Export.

A release’s fingerprint: a long string of letters and numbers computed from everything the release froze. The same data always gives the same hash, and any change gives a different one. A release’s page and its public page both show it.

Your starting page in an organization, and the first icon in the rail. It shows Your work, Needs your decision and your apps.

All your notifications in one list. Your assigned work isn’t here: it’s under Your work on Home.

An emailed link that lets one person join your organization. It lasts 7 days, and an admin can Resend or Revoke it in Members.

A collection of existing records with extra columns of your own. Adding a column to a list doesn’t change the records. Under Lists in the rail.

A person in your organization, with the roles they hold. Admins see everyone in Organization settings under Members, and add people with Invite someone.

Multi-factor authentication: another name for two-step verification.

The asks and approvals waiting for you, on Home, with the one due soonest first.

A short message that someone assigned you a record or mentioned you, or that something of yours is due. Open them from the bell at the top of the page. They’re all kept in your Inbox.

A company or team that uses CapZero, with its own members, apps and data. If you belong to more than one, switch between them with the organization’s name at the top left. Some screens call an organization a workspace.

Where admins run the organization: members, apps, connections, agents and more. Open it from your account menu at the bottom of the rail.

A form anyone with its link can fill in without signing in, for example to send your organization a request. Admins publish them in Organization settings under Public forms.

The address where anyone can read a published release, without signing in. It shows the release’s number, publication date and hash, with Download CSV beside each table. A publication’s page in the app shows its address under Public page.

A document an app publishes for people outside your organization. Each version of it is a release, which is approved and then published. An app’s publications are under Publications in its sidebar, for the people who build or approve them. See Releases.

One item an app keeps track of, such as a contact or a deal.

A single-use code that signs you in when you can’t use your passkey or authenticator app. You save your recovery codes when you turn on two-step verification.

One build of a publication, frozen, with its hash. A person approves a release and then publishes it, and its public page shows exactly what it froze. A release never changes: a correction is a new release. See Releases.

A named set of permissions. Every member has one: admin can do everything, member can see records and do work, and viewer can only look. Apps can add their own app roles.

A separate copy of your organization for testing and training. Nothing done in a sandbox reaches anyone outside it. A Sandbox badge shows at the top of the page while you’re in one.

Signing in through your company’s own identity provider instead of an emailed code. Admins set it up in Organization settings under Single sign-on, and members then choose Continue with organization SSO.

Removing a published publication from its public page: the page and every download of it go at once. Publish again on one of its releases puts it back at the same address. Only a person who may approve its releases takes it down.

A second proof of who you are when you sign in: a passkey, or a 6-digit code from an authenticator app. Also called MFA. Approvals and other decisions need it (Approvals with MFA). Turn it on from your account menu, with Two-step verification.

A page that shows an app’s records: a table, a board, a dashboard or one record’s own page. An app’s views are in its sidebar.

A way to send your organization’s events to your own systems, signed so you can check they came from CapZero. In Organization settings under Webhooks.

An automation of your own that connects your apps. Under Workflows in the rail.

The tasks and follow-ups assigned to you from every app, grouped as overdue, due today and due this week. On Home.
